ReceiptCSV

3 free receipts a day · no signup · files never leave your browser

A receipt CSV you can work from in QuickBooks

ReceiptCSV does not connect to QuickBooks, create vendors, or post to accounts. It gives you a normal comma-separated file — date, merchant, amount, tax, payment method, receipt number — so you or your bookkeeper can record the expense without retyping the receipt.

  • Private by design
  • Lines checked against the total
  • CSV and real .xlsx
  • Batch up to 25 receipts

Read inside your browser. Files are never uploaded or stored.

No receipt handy? Run a sample — always free, never uses a conversion.

Built for receipts. Not invoices.

Store, restaurant, gas, taxi, hotel and online-order receipts — the things you paid for. If a document asks you to pay by a due date, it's an invoice and belongs in a different tool.

How bookkeepers actually use the file

QuickBooks Online has no “import this receipt CSV” button that knows our columns. Treat the download as the source document, not as a posted journal entry.
  1. 1

Convert the receipt and read the preview

Confirm the merchant, date, tax, and total. If the lines don’t add up, the preview says so. Don’t post a flagged receipt until you’ve checked the paper.

  2. 2

    Download the CSV

Header row, comma separator, quotes where a description contains a comma. Amounts are numbers, not “$32.00”. Dates are YYYY-MM-DD.

  3. 3

Record from the sheet, or map columns yourself

In QuickBooks, enter the expense using merchant as the payee, date as the payment date, and amount or total as what was paid. If you use an import tool or Desktop, you choose the mapping. We don’t ship an IIF file.

  4. 4

Keep the source_file name with the row

When a client asks “which PDF was the scallops?”, the source file column is the filename you dropped. The original receipt never leaves your browser, so you still file the PDF yourself.

Example rows from the bundled restaurant sample. Harbor Lane’s grand total is 160.02, which includes an 8.82 meals tax and a 25.20 tip. The tax column is that sales tax, not an income-tax deduction. Payment method and receipt number are on every line of the real download.

The details

What you can rely on

Merchant, purchase date, line amount, pre-tax subtotal when it’s printed, sales tax or VAT, tip actually added (suggested-tip tables are ignored), grand total, currency, payment method, and receipt or check number. Those are the columns. Negative amounts are discounts and coupons, the way the receipt printed them.

What QuickBooks still has to decide

Account, class, customer, billable flag, and sales-tax code are bookkeeping choices. They are not printed as a chart of accounts on a restaurant check, so they are not in the file. Add them when you record the expense.

The same CSV opens in Google Sheets or Excel if you want a review copy before anyone posts it.

Receipts, not supplier bills

A file with bill-to, a due date, and a PO is an invoice. ReceiptCSV turns those away and does not spend a conversion. Supplier bills belong in an invoice converter, not in this CSV.

A shoebox is a batch, not a sync

Drop up to 25 receipts and download one file a bookkeeper can scroll. Each successful receipt is one conversion. Failed files — password PDFs, blur, no total — are listed with a reason and are not charged. There is no bank-feed match and no “mark as reconciled in QuickBooks.”
